Terms and Conditions

    1. YOUR CONTRACT WITH WEDISCOVER

     

    • Please ensure that you read these terms carefully, and check that the details in your enquiry and in these terms are complete and accurate, before you submit your enquiry. If you think that there is a mistake or require any changes, please contact us to discuss. We will confirm any changes in writing to avoid any confusion between you and WeDiscover.
    • When you submit your enquiry to us, this does not mean we have accepted your enquiry for the placement. Our acceptance of your enquiry will take place as described in clause 1.3. If We are unable to supply you with the placement, we will inform you of this either in writing or by telephone and we will not process your enquiry.
    • Payment of a registration fee when you submit your enquiry does not mean we have accepted your enquiry in respect of a placement. These terms will become binding on you and us when we contact you to tell you that we are able to provide you with the placement, which we will also confirm in writing to you, at which point a contract will come into existence between you and WeDiscover. If we are unable to provide you with the placement as set out in your enquiry, at this stage we will let you know and try to arrange an alternative placement or refund of any registration fee paid.
    • This contract is between you and WeDiscover. No other person shall have any rights to enforce any of its terms.

    In order to make a booking with us and be accepted onto our program, you must apply, be offered a place on one of our programs and pay the registration fee and deposit as stipulated in our confirmation letter to you.

     

    1. THE PROGRAM FEES

     

    2.1 Registration fee is non-refundable

     

    All participants shall pay a £200(€250$300) registration fee to join the program.  It is non-refundable unless the program has been cancelled by us without the participant’s consent or a refund is decided upon by us at our discretion.

    • Deposit will be refunded after the successful completion of the program

    After the successful interview with a placement, participants shall pay a deposit of £200(€250$300) to WeDiscover. This amount will be returned to the participant upon the successful completion of the placement. If the placement is curtailed for the reasons by the participant, the deposit will not be refunded.

     

    1. WHAT’S INCLUDED AND NOT INCLUDED?

     

    Included:

    • Hotel placement
    • Accommodation and food during the placement
    • Contact information and 24-7 in-country support
    • Airport Pickup
    • Induction day during the first week
    • Supervision and advice throughout the entire duration of the program

     

    Not Included:

    • Flights
    • Visa fees
    • Insurance
    • Enrollment to the local university, including tuition, accommodation, food and living expenses for one semester
    • Local transport cost

     

    3.1 You will be met at the pre-agreed airport by our staff and taken to the designated accommodation at pre-agreed times, and full details of this will be provided to you prior to your departure from your home country.

    If you require airport pick-up outside of the stipulated hours, dates and locations, not on the specified arrival day, or not in the specified airport you will incur an additional charge.

    3.2 Your accommodation and food will be providedfree of charge by our partner hotels for the period of your placement. We will check and make sure the accommodation facilities are safe and clean up to normal standards. Food includes three meals served in the staff canteen unless alternative arrangements are made by the hotel

    3.3 For security reasons and to comply with local authority restrictions you are not allowed to invite or allow any person who is not a current WeDiscover staff member to enter your accommodation, without the express consent of the WeDiscover local staff or hotel HR department.

     

    4.INSURANCE

     

    4.1 You must pay for and be protected by comprehensive travel insurance and professional indemnity insurance cover.

    4.2 We are happy to assist you with organizing your insurance, but ensuring that you are covered is your responsibility and We accept no responsibility if for any reason you are not covered by your insurance in the event of any loss, illness, injury or otherwise (provided such injury does not relate to an act or omission by us). In particular:

    (a) You must obtain appropriate travel insurance to cover you for the period of your placement and provide full details of this insurance to us at least one month prior to the commencement of your placement; and
    (b) Your insurance should include repatriation, cancellation, travel, health, medical (including pre-existing medical conditions) and personal liability insurance.

    4.3 Neither we nor our employees are liable for any medical advice given by ourselves or third parties.

    4.4 It is Your responsibility to claim any expenses directly from your insurance provider. We will offer you reasonable assistance to complete forms where We deem it appropriate but We cannot be held liable for any financial loss You encounter in relation to the accuracy of our assistance.

     

    1. VISAS

     

    5.1We will use all reasonable endeavors to assist You with Your visa application. We provide help and advice on obtaining relevant visas for your Placement, but the issuing of these is at the discretion of the relevant authority and is beyond our control and we accept no responsibility if you are unable to obtain the relevant visas for your placement. Requirements for visas may change without notice and it is your responsibility to make sure you have the correct and valid visas for your Placement and you are required to pay for the cost of any visas. We accept no responsibility for the consequences of a change in visa requirements.

    5.2 You are responsible for ensuring that your passport, visa and any other travel documents are valid for the duration of your placement.

    5.3 WeDiscover accepts no responsibility for any charges, fees or costs you incur throughout the visa process.

    5.4 You are responsible for checking that the visa you are issued for your placement is the correct type and length of visa. Should you wish to travel outside the program location during or after your program, it is your responsibility to ensure that the visa you are issued will allow you to leave the program location and re-enter.

    5.5 Please note that visas issued for WeDiscover participants do not allow you to undertake any placements other than the one offered by your designated hoteland organised by us. It is your responsibility to check and understand the restrictions on any visas. Changing placements without the proper permissions and consent may be a serious issue for which you may be prosecuted.

     

    1. TRANSPORT

     

    6.1 Flights are not included in the program fee. You must purchase your own flight tickets to arrive in the program location by the placement start date.

    6.2 To use our airport pick-up service, you are responsible for any travel costs related to traveling to our specified airport, and the destination of the university as well as the placement location.

    6.3 We are not responsible for any damages or costs due to any act, omission or negligence relating to the purchase of flight tickets or the operation of flights or any other form of transport.

    6.4 We are not responsible for any costs you incur due to changes or delays in flights, trains or any other form of transport.

     

    1. CODE OF CONDUCT

     

    7.1 Participating in our program is an opportunity to gain work experience, training and/or professional skills in our location. It is an investment in your future and is not a holiday or tourist service and we would ask that you manage your expectations accordingly before embarking onour program. You confirm that you are committed to completing the program and will do so to the best of your abilities.

    7.2 Where you have booked an internship placement, you will be required to behave as though you are an employee of the assigned internship company, including arriving at work on time, completing all tasks given to you, and treating the internship company and your fellow colleagues with respect and courtesy. You should not bring either us or your host company into disrepute.

    7.3 When you have chosen to join our program, you will be required to attend all lessons and seminars while at the local university, complete all tasks and work given to you at the placement, and treat your teachers, fellow students, project managers or work colleagues with respect and courtesy.

    When you are on your placement, please bear in mind that you need to show a high level of independence and initiative in dealing with problems yourself as they arise.

    7.4 Every reasonable effort will be made to resolve any disciplinary matter before it becomes serious. However, we reserve the right to take appropriate action in the event of unacceptable behaviors. This includes behaviour such as serious rowdiness or drunkenness, failure to turn up to work, or leaving work without any adequate reason, or in the event of an unreasonable inability, from whatever cause, to do the work expected.

    7.5 You are aware that your program is particularly designed and registered with the local authority in terms of your visa. You confirm that you will not undertake any other work opportunities in the program location during your assigned program, other than those provided by WeDiscover under this agreement. You understand that you are bound by the relevant laws of the host country.

    7.6 In situations where you do not comply with the rules of the host company or the rules of our programs or the laws of the host country, we reserve the right to cancel your placement by giving notice to you and you will be required to leave the designated accommodation within two (2) days of being informed by Us to do so.

    7.7 We reserve the right to expel any participant from any of our placements at our discretion for reasons including but not limited to breaking the law of the host country, bullying or harassment of other participants, antisocial or unreasonable behaviour or unfit conduct towards other group members, our representatives or the assigned internship company or excessive absence from work. In such instances, we retain the right to immediately eject the participant from the designated accommodation and cancel the program of the participant.

    7.8 If the host company terminates a participant’s placement prior to the program end date as a result of the participant’s inadequate or unhelpful participation, prolonged or repeated absence from work, repeated tardiness in arrival at work, or for any other reason attributable to the behaviour of the participant, no refund of program deposit will be given andwe are under no obligation to provide another placement. In such a case, the participant will be required to leave the designated accommodation within two (2) days of being informed by us in writing to do so.

     

    1. AMENDMENTS, CANCELLATION AND CURTAILMENT

     

    8.1 Amendments or cancellations must be notified to us in writing, either by post or email to our head office. Our staff can provide help and advice on amendments and cancellations, but a verbal agreement will not represent a change to your contract with us and you must contact the head office.

    8.2 Our charge for an amendment or a postponement to your placement is normally £50(€60$70) (to cover our administration costs) plus any additional costs incurred by us. If the total amendment cost is estimated to exceed $100, we will provide you with a quotation before proceeding.

    8.3 If you curtail your placement and do not undertake the whole of your placement, we cannot refund you the deposit. You will be responsible for any additional costs involved with the curtailment of your placement, including the cost of repatriation. If we incur any costs by reason of your curtailment of your placement, we reserve the right to charge you a reasonable administration fee.

     

    1. RESPONSIBILITY AND OTHER MATTERS

     

    9.1 Please note that your booking is accepted on the understanding that you come on the program at your own risk. It is not possible for us to be responsible for the actions or omissions of those involved in your program over whom we have no direct control, such as employees of airlines, transport undertakings and others. Equally we are not responsible for loss or expense due to war, riots, strikes, terrorist activities, natural disasters, or bankruptcies (or similar) of unconnected third parties. WeDiscover is not liable for any injury, damage, loss, accident, delay, or other irregularity which may be caused by defect of any vehicle or other equipment, other than its own, or the negligence or default of any company or person engaged in carrying out or performing any of the services involved, other than our own staff.

    9.2 We give you all reasonable assistance to obtain visas, visa renewals and work permits, when they are needed. However, these are arrangements between individuals and a state and are not under our control.

     

    1. DATA PROTECTION AND DATA SHARING

     

    You agree that for the purposes of the Data Protection Act 1998, we are the data controller and our instructed suppliers (including host companies and visa processing agents, travel agents, accommodation providers and universities) are the data processors in respect of any personal data.

    Our suppliers shall only process the personal data only in accordance with our instructions from time to time and shall not process the personal data for any purpose other than those expressly authorized by us.
